Overview

We are looking for a compassionate, detail-oriented, and customer-focused individual to join our team as a Customer Service Representative at our veterinary hospital. The ideal candidate will be responsible for delivering exceptional service to our clients and ensuring smooth communication between pet owners and our veterinary team. This role involves handling phone calls, scheduling appointments, managing inquiries, and providing support in a fast-paced, caring environment.

Key Responsibilities

  • Client Communication:
    • Greet clients both in person and over the phone with warmth and professionalism.
    • Answer client inquiries regarding services, appointments, and general pet care information.
    • Provide detailed information about procedures, treatments, and products offered by the veterinary hospital.
  • Appointment Scheduling:
    • Schedule and confirm appointments for veterinary services, surgeries, and follow-ups.
    • Assist clients with rescheduling or canceling appointments as needed.
    • Ensure timely and efficient management of the clinic’s appointment calendar.
  • Administrative Support:
    • Manage client records in the practice management software, ensuring accuracy and confidentiality.
    • Process payments and manage billing inquiries.
    • Handle client intake forms and ensure proper documentation of patient information.
  • Customer Service:
    • Resolve client concerns or complaints promptly, maintaining professionalism and empathy.
    • Educate clients on after-care instructions and medication schedules as directed by the veterinary team.
    • Assist with client education materials and distribute any hospital-specific forms or literature.
  • Team Collaboration:
    • Work closely with veterinarians, veterinary technicians, and other support staff to ensure efficient workflow.
    • Communicate effectively with the veterinary team regarding patient needs and client preferences.
  • Other Duties as Assigned:
    • Maintain a clean and welcoming front desk area.
    • Assist with inventory management, including stocking and ordering office supplies.

Qualifications

  • High school diploma or equivalent (additional education or certification in veterinary or healthcare administration is a plus).
  • Previous customer service experience, preferably in a veterinary or healthcare setting.
  • Excellent verbal and written communication skills.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Proficiency in using office software and practice management software (experience with [specific software] is a plus).
  • Compassion for animals and their owners.
  • Ability to stay calm under pressure and exhibit professionalism in all interactions.

Preferred Skills

  • Experience in a veterinary hospital or animal care environment.
  • Knowledge of basic animal health care practices.
  • Bilingual (English/Spanish) is a plus, but not required.
